14-Day Free Trial Protection
All new subscriptions include a 14-day free trial. No payment is taken during this period. By proceeding with payment, the customer acknowledges the service has begun and waives their 14-day cooling-off right under Regulation 36(1) of the Consumer Contracts Regulations 2013.
When to Issue Refunds ✅
• Service was not provided as described for a significant portion of the billing period
• Material technical failure on our part substantially prevented use of the service
• Customer was charged incorrectly due to a billing error
Action: Issue pro-rata credit or refund within 5–10 working days. Contact: hello@airingdesk.com
When NOT to Issue Refunds ❌
• Change of mind after 14-day free trial has been used
• Failure to use the service during the billing period
• Issues caused by third-party services (e.g. Twilio outages)
• Accounts suspended due to breach of Terms

Step 1 — Create account
Go to Admin → Customers → + Add Customer
Enter: Business name, email address, temporary password
Client will receive a welcome email automatically
Step 2 — Assign phone number
Go to Admin → Customers → [Client] → Manage
If client hasn't chosen a number: Use Twilio console to purchase a UK number
Then update the client's phone_number in the database via Admin panel
The number webhook is automatically set to: https://airingdesk.com/voice/incoming
Step 3 — Set AI prompt
Go to Admin → Customers → [Client] → Manage → AI Settings
Or ask the client to log in and go to AI Settings in their dashboard

AI not answering calls? Check Twilio webhook URL is set to https://airingdesk.com/voice/incoming
AI giving wrong information? Update the AI prompt in Dashboard → AI Settings with more specific business details
Not receiving email notifications? Check spam folder. Enable notifications in Dashboard → Notifications
Call transfers not working? Add transfer numbers in Dashboard → AI Settings → Departments section
AI not understanding caller? Check call logs for transcript. If speech recognition failing, caller may need to speak more clearly or use a better phone signal
